TERMS AND CONDITIONS

A. BOOKING YOUR TRIP

You can reserve a trip with Machu Travel Peru by contacting us in the USA at toll-free +1 (800) 980-0435, or by email at contact@machutravelperu.org. When you contact us, we will take time to learn about your desired destinations, budget, hotel and food preferences, etc. And, we’ll immediately start to work on designing an itinerary specially catered to you. After, we will happily refine and edit your program until you are completely satisfied. Finally, once we receive your approval of your itinerary, we will ask that you make a deposit for your trip. Accepting an itinerary from us constitutes an agreement to the terms and conditions specified in this document.

B. TRIP DEPOSIT

Due to the nature of our trip development process, we require an initial deposit of 50% of the total tour package cost, within five days of your approval of our itinerary. This deposit is payable by bank or wire transfer to the account or credit card we specify. The decision is yours! Your travel arrangements will be confirmed when we receive this initial deposit.

C. PAYING YOUR BALANCE, THE ENTIRE BALANCE OF YOUR TRIP

The trip balance is payable 90 days before the trip begins by bank or wire transfer to the account or credit card we specify. If you have booked fewer than 89 days before your travel date, full payment will be due within five days of your approval of your customized itinerary.
Delayed payment of the balance may result in changes to your initial tour arrangements due to the availability of tickets, and services, among others. Or, in extreme cases, this delayed payment can result in the cancellation of your trip.

D. CANCELLATION/REFUNDS

We understand that certain circumstances may arise in which clients are not able to travel on their original planned dates. For this reason, if we receive written notice of your desire to cancel your reservation, the following conditions will be taken:

  • 80 days before of tour begins, the amount paid can be refunded, including the flight tickets (if these had been paid in the initial charge). The non-refund costs are the tickets to Machu Picchu, train tickets to the citadel, and the $200.00 agency administrative fee. 
  • 45 days before of tour begins, the amount paid can be refunded, including the flight tickets (if these had been paid in the initial charge). The non-refund costs are the tickets to Machu Picchu, train tickets to the citadel, hotel reservation expenses, and the $200.00 agency administrative fee. 
  • 30 days before of tour begins, we will be forced to apply the No-Show penalty, without any refund (We will not be able to return 100% of the cost paid, according to the individual policies of each provider with which we work)

Additional notes:

  1. In the case of health situations or unforeseen events of extreme urgency that prevent you from arriving in Peru, you will have to sustain these situations, by sending us legal documents that prove your state of health (medical certificate) or prove your extreme urgency that you are going through currently, 15 days before of your Non-Arrival. These documents will allow you to reschedule your tourist package, after requoting it, for the new date chosen. An additional note, this reschedule excludes air flights and entrance tickets to Machu Picchu.
  2. For Last-minute conjunctural issues (social protests, weather situations, epidemics, and any external situation beyond our control) the company will not be obliged to make any refund. Giving the facility of a rescheduling applying the rule of additional note number 1 of this document (above paragraph).

PREPARING FOR YOUR TRIP

A. TRAVEL DOCUMENTS

It is your responsibility to obtain the appropriate documents, including passports, visas, tourist cards, and immunizations required for the country or countries you are visiting. Those who travel with underage persons need to contact their international carrier to get necessary requirements for travel with underage persons. Therefore, minors under the age of 18 must be accompanied by an adult parent, guardian, or relative with proper documentation.
Please note the following: We will use the passport information you provide in your booking form to reserve hotels, trains, flights, and the Inca Trail (where it is applicable). If you changed or renewed your passport, please be sure to carry the old passport and the new one. Or, if it is not possible to carry both, you must notify us of the new passport number 90 days prior to your trip. This is so there will be no later confusion in your bookings.

B. HEALTH REQUIREMENTS

Please contact your local health board for immunization requirements for different countries’ entrances. You can also find information at www.cdc.gov/travel on the required immunizations site. Some immunizations require up to one month to take effect; even you may be required to receive immunizations or sign a release form when visiting certain zones. You are responsible for obtaining this information before traveling with Machu Travel Peru and applying them, as well as supplying us with any health information pertaining to conditions you may have that may affect your ability to travel and/or that may pose a danger to yourself or others.

C. TRAVEL INSURANCE

Machu Travel Peru doesn’t provide travel insurance, and the approval of one of our trips in no way implies that you or your travel companions will be insured. We strongly recommend that you purchase a single-trip travel insurance policy within 15 days of payment of your trip. Even, we will be happy to recommend you to trusted travel insurance providers. Trip cancellation insurance reimburses you for air and land costs should you have to void your trip due to a personal or family emergency. Emergency medical evacuation insurance and emergency medical expense coverage are also strongly recommended. In the case of Ecuador, as of September 4, 2017, Ecuadorian law requires all visitors to Ecuador to hold valid health insurance for the duration of their stay, reserving the right to deny entry to anyone entering without health insurance. For this reason, it is imperative to hire to secure travel insurance before embarking on your Machu Travel Peru journey, especially to Ecuador.
Important note: Please, will have to send us a scanned copy of your travel insurance 15 days before your tour begins. Otherwise, we will not be able to serve you properly. This travel insurance will be a guarantee for you and for us that you’ll pass great moments without concerns, during your days with us.

HOW THIS WORKS

A. TRAVEL IN LATIN AMERICA

Standards, practices, and customs in Latin America differ from those in their home country. Machu Travel Peru at all times delivers a superior standard of quality and always seeks the highest quality accommodations, transportation, food, and supplies available in any of the regions you visit. In high-altitude locations and remote jungle regions, you may be tested by conditions outside of your comfort zone, and, even in the best-planned itineraries; there may be moments of discomfort, and plans can and do go wrong. Clients accepting an itinerary from Machu Travel Peru are agreeing to accept full responsibility for themselves and their underage children on the trip and in no way to hold Machu Travel Peru responsible in the event of annoyances, delays, or drawbacks caused by natural disasters, inclement weather, acts of terrorism, criminal activity, strikes, illness, transportation failures, and other causes beyond our control. In the same way, Machu Travel Peru will not be responsible for additional hotel nights and other expenses that may be required due to the previously mentioned causes, besides airline changes and delays prior to and after a trip. Finally, Machu Travel Peru cannot assume any responsibility for loss or damage to personal baggage.

B. LIMITATION OF LIABILITY AND RELEASE

Machu Travel Peru doesn’t own, operate, control, supervise, or manage any of the suppliers of transportation, land operators, accommodations, food and goods, and related travel services provided. Also, to the tour participant, Machu Travel Peru is not liable for any injury, damage, loss, inconvenience, irregularity, or delay resulting, directly or indirectly, from fortuitous acts, detention, quarantines, civil disturbance, criminal activity, government regulations, etc. over which it has no control. Because of this, it is necessary that the tour participant let us know about any abnormal circumstances that might affect the normal development of their trip (previous health conditions like high blood pressure, and diabetes among others). In this way, we will be able to act together to solve any problems.

C. EXTERNAL PROBLEMS

Machu Travel Peru has vast experience in the tourism industry, so we understand that unexpected situations could happen. So, in case of a pandemic, terrorism, earthquakes, or political problems, we will be happy to help you change your dates for a future trip, applying a re-quote according to the rules of the “Cancellations/Refunds” section. Machu Travel Peru doesn’t offer cash refunds in case unpredictable situations happen.
Please take note that a significant percentage of proceeds for the package you confirm will go to the RAINBOW CHILDREN FOUNDATION which provides needy children from Cusco rural areas with the quality education, nutrition, dental, and medical care they deserve. Many of whom you will closely interact with on the tours and even can share a meal with.
